Roles and Responsibilities
The Technical Manager is responsible for: -
Helping the CEO during an “emergency”
Processing purchase orders received from vessels:
• receive quotes from suppliers;
• Evaluate/check received proposal and seek approval from Fleet Managers/Technical Managers/Vessel Managers/Superintendents before submitting orders to suppliers;
• Liaise with suppliers and vessels on various details such as ETA, delivery port and forwarding address etc. for safe delivery of stores/spare parts on board;
• Inform agents and vessels of the delivery plan during port calls.
Coordinate and give necessary instructions to the agent;
• Obtain confirmation from ships that stores/spare parts located at that port have been received on board
• Check for outstanding application and advise the courts of the reason for any deviation in rating;
• Update technical managers/superintendents on the status of individual boat stores and spare parts and supplies;
•Advise and update Technical Managers/Superintendents regarding ongoing costs of stores and spare parts for each individual vessel.
• Issue P.Os in accordance with SQMS (Marine Ship Electrician Jobs) manual procurement procedures.
• Checking, processing and recording of invoices;
• Vessel movement update through daily midday report at sea and in port; and also
• Ensure that procurement procedures on board and in the office are fully followed
• Prepare monthly lubricant supplies for submission to the billing department as required.
• Update the “Approved Supplier List” in consultation with the DPA and Technical Manager.
Innings
• Submission of incoming / outgoing documents regarding purchase issues.
• Filing all technical reports received from the vessel in accordance with the office filing system. If the vessel has not submitted the report on time as per , please send a reminder email to the concerned vessel and follow up until the said report is received at the office.
Review
• Assist Technical and Marine Managers/Superintendents in the application of surveys and audits as required.
Insurance
• Responsible for insurance issues such as H&M and P&I cover renewal
• Monitoring the vessel's entry into war risk zones and communicating with brokers regarding additional bonuses
All other work as and when required
Authority
The Technical Manager has the authority, as directed by the General Manager, to act in accordance with his responsibilities to ensure the efficient procurement of ship stores and spare parts.
